Our Core Privacy Commitments

  • No audio storage. We never store your voice recordings on our servers.
  • No AI training on your data. Your voice input is never used to train AI models.
  • Local-first or encrypted processing. Audio is processed on-device or via end-to-end encrypted channels.
  • No sale of your data. We never sell your personal information to third parties.

1. Introduction

Rainvoice ("we," "us," or "our") is committed to protecting your privacy. This Privacy Policy describes how we collect, use, share, and safeguard information when you use our macOS application, website (rainvoice.app), and related services (collectively, the "Service").

By using the Service, you agree to the practices described in this Policy. If you do not agree, please discontinue use of the Service.

2. Information We Collect

2.1 Account Information

When you create an account, we collect your name and email address. If you sign up via Google or another OAuth provider, we receive the profile information you authorize that provider to share (typically name, email address, and profile picture).

2.2 Payment Information

If you purchase a subscription, payment processing is handled by our third-party payment provider. We receive only limited payment metadata (e.g., last four card digits, billing country, subscription status). Your full card details are never transmitted to or stored by Rainvoice. Our payment provider's privacy practices are governed by their own privacy policy.

2.3 Voice and Audio Data

Rainvoice processes voice audio to produce text transcriptions. We are committed to handling voice data with the highest level of care:

  • Local processing: Where available, audio is transcribed entirely on your device using on-device models. No audio leaves your machine.
  • Cloud-assisted processing: For features that require cloud AI (e.g., advanced language models), audio may be transmitted to our AI infrastructure over an encrypted connection. Audio is processed transiently and is not retained after transcription is complete.
  • No persistent audio storage: We do not store, log, or retain your audio recordings on our servers under any circumstances.

2.4 Usage and Diagnostic Data

We may automatically collect technical information to operate and improve the Service, including:

  • Device type, operating system version, and macOS version
  • App version and feature usage (e.g., which languages are used, session duration)
  • Crash reports and error logs (which do not contain audio or transcription content)
  • Aggregate, anonymized performance metrics

This data is collected in aggregate and is not linked to identifiable audio or transcription content.

2.5 Communications

If you contact us for support or provide feedback, we retain those communications (including your email address) to respond to your inquiry and improve the Service.

2.6 Cookies and Tracking Technologies

Our website uses cookies and similar technologies to:

  • Maintain session state and authentication
  • Analyze website traffic (via privacy-respecting analytics)
  • Remember your preferences

You can control cookies through your browser settings. Note that disabling certain cookies may affect website functionality.

3. How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve the Service
  • Authenticate your identity and manage your account
  • Process payments and manage your subscription
  • Send transactional emails (receipts, account notifications, subscription changes)

We will never use your voice data or transcribed text for AI model training without your explicit, informed, and opt-in consent.

4. How We Share Your Information

We do not sell, rent, or trade your personal information. We share information only in these limited circumstances:

4.1 Service Providers

We use trusted third-party service providers who process data on our behalf. These include:

  • Third-party payment provider — payment processing
  • AI infrastructure providers — transient audio processing (where cloud models are used)
  • Email service providers — sending transactional and marketing emails
  • Analytics providers — aggregated usage analytics
  • Cloud hosting providers — storing account data and app infrastructure

All service providers are bound by data processing agreements and are prohibited from using your data for any purpose other than providing services to us.

4.2 Legal Compliance

We may disclose information if required by law, regulation, legal process, or governmental request, or if we believe disclosure is necessary to prevent harm, fraud, or violation of our Terms.

4.3 Business Transfers

In the event of a merger, acquisition, asset sale, or corporate restructuring, your information may be transferred as part of that transaction. We will notify you via email or prominent notice on our website and give you 30 days' notice before your information becomes subject to a different privacy policy.

4.4 With Your Consent

We may share information in other ways with your explicit consent.

5. Data Retention

We retain your personal information for as long as your account is active or as needed to provide the Service, comply with our legal obligations, resolve disputes, and enforce our agreements.

  • Audio data: Not retained — deleted immediately after transcription
  • Account information: Retained while your account is active; deleted within 90 days of account deletion upon request
  • Payment records: Retained for 7 years for tax and legal compliance
  • Crash logs and diagnostics: Retained for up to 12 months in aggregated form
  • Support communications: Retained for up to 3 years

6. Data Security

We implement industry-standard technical and organizational measures to protect your information, including encryption in transit (TLS), encryption at rest for stored account data, access controls, and regular security reviews. However, no method of transmission over the internet or electronic storage is 100% secure, and we cannot guarantee absolute security.

In the event of a data breach that affects your rights and freedoms, we will notify you and applicable regulatory authorities as required by law, within the timeframe required by applicable law.

7. Your Rights and Choices

Depending on your location, you may have the following rights regarding your personal data:

Access

Request a copy of the personal data we hold about you.

Correction

Request correction of inaccurate or incomplete data.

Deletion ("Right to be Forgotten")

Request deletion of your personal data, subject to legal retention obligations.

Portability

Receive your data in a structured, machine-readable format.

Restriction and Objection

Restrict or object to certain processing of your data, including for direct marketing.

Withdraw Consent

Where processing is based on consent, withdraw it at any time without affecting prior lawful processing.

Opt Out of Marketing

Unsubscribe from marketing emails via the link in any email or by emailing us.

8. Regional Privacy Rights

8.1 European Union / EEA (GDPR)

If you are located in the EU or EEA, we process your personal data based on the following legal grounds: performance of a contract (delivering the Service), legitimate interests (improving the Service, fraud prevention), compliance with legal obligations, and consent (where applicable).

You may lodge a complaint with your local Data Protection Authority. A list of EU DPAs is available at edpb.europa.eu.

8.2 California (CCPA / CPRA)

California residents have the right to know what personal information is collected, to delete personal information, to opt out of the sale or sharing of personal information (we do not sell or share your data), and to non-discrimination for exercising these rights. 8.3 International Data Transfers

Rainvoice is based in the United States. If you access the Service from outside the US, your data may be transferred to and processed in the US. For transfers from the EU/EEA, we rely on Standard Contractual Clauses (SCCs) or other lawful transfer mechanisms as required by applicable law.

9. Children's Privacy

The Service is not directed to children under the age of 13 (or 16 in the EEA). We do not knowingly collect personal information from children. If we become aware that a child has provided us with personal information, we will promptly delete it. 10. Third-Party Links and Services

The Service may contain links to third-party websites or integrate with third-party services. We are not responsible for the privacy practices of those parties. We encourage you to review the privacy policies of any third-party services you access.

11. macOS Permissions

To function, Rainvoice requests the following macOS permissions:

  • Microphone: Required to capture your voice for transcription. We access the microphone only when you actively initiate recording.
  • Accessibility: Required to paste transcribed text into any application system-wide.

You may revoke these permissions at any time in System Settings → Privacy & Security. Revoking permissions will disable the relevant features.

12. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. When we make material changes, we will notify you by email (to the address on your account) or by posting a notice in the app at least 14 days before the changes take effect. The "Last Updated" date at the top of this page reflects the most recent revision.

Your continued use of the Service after the effective date of any changes constitutes your acceptance of the updated Privacy Policy.
